The International Water Management Institute (IWMI) (www.iwmi.org) is looking for a competent, self-motivated team player to join its West Africa Office in Accra, Ghana, as Program Officer, who will report to the Country Representative – Ghana.
The Program Officer will be responsible for providing administrative, operational and scientific management support to the Country Representative – Ghana and project leaders throughout project life cycle.
General Duties And Responsibilities
Provide assistance and support to the Country Representative (CR) and Project Leaders (PLs).
Ensure that enquiries and correspondence to the CR are responded to in an appropriate and timely manner.
Coordinate stakeholder engagement arrangements for the CR and PLs as and when necessary.
Tracking contracts, project portfolio, outputs and progress reporting updates.
Assist PLs to track project progress, including project deliverables.
Facilitate and process internship, consultancy and partnership contracts for research projects.
Track contracts and provide regular updates to the PL on the status of contractual agreements and payments to consultants and partners. Assist the PL to track and monitor payments to consultants and partners.
Provide administrative support to PLs to ensure that agreed timelines for deliverables are adhered to.
Assist PLs on the different areas of the project management life cycle.
Assist the CR to track allocations and timesheet submissions to PMO.
Create project-related reports required by the CR.
Contribute to project portfolio growth by maintaining databases (contacts, interns, consultants, events and projects) and conducting Internet searches.
Provide support to the research team in preparing scientific meetings, workshops and conferences.
Compile a list of participants and send out invitation letters.
Follow-up on participation.
Prepare meeting materials.
Organize and set up a meeting venue in a timely manner.
Contribute to the preparation of meeting minutes.
Translate correspondence, agreements and other short documents from English to French and vice-versa, as required from time to time.
Prepare correspondence in French.
Translate agreements and other short documents requiring translation into English or French, as required.
Perform other administrative duties that may be assigned from time to time by the supervisor.
EDUCATIONAL QUALIFICATIONS AND EXPERIENCE
A university degree in a relevant scientific discipline.
A postgraduate diploma or degree in administration.
Five years relevant administrative experience.
Work experience in international organizations.
Knowledge, Skills And Abilities Required
Ability to use spreadsheets and word processing programs at a highly proficient level.
Excellent command of English (written and verbal).
Good organizational skills, with the ability to handle multiple tasks in a timely manner.
Demonstrated strong communication skills, particularly when preparing correspondence and briefings.
Demonstrated use of good judgment and adaptability to changing office demands.
Demonstrated familiarity with social media, and the ability to use such media to promote inter-office communications and information sharing.
Ability to work independently.
Excellent interpersonal skills and a good team player.
Ability to deal with sensitive and confidential information in a professional manner.
Personal attributes such as high standards of conduct, respect, flexibility and sound work ethic.
Knowledge of French (written and verbal).
Experience in the preparation of scientific information and papers.
Experience in creating PowerPoint presentations.
Experience in building and sustaining relationships with diverse stakeholders.
