Description of task
Within the delegated authority and under the supervision of the Procurement Associate or his/her designated mandated representative(s), the UNV Procurement Assistant will:
Supports procurement processes for CO, NIM/DIM projects and at the request of other Agencies focusing on the following:
Provision of inputs to preparation of procurement plans for the office.
Support to organization of procurement processes including preparation of RFQs, ITBs or RFPs documents, receipt of quotations, bids or proposals, their preliminary evaluation.
Preparation of micro-purchase document and shopping letters
Preparation for Purchase orders and contracts outside the ERP system, preparation for Recurring Purchase orders for contracting of services,
Maintenance of the filing system in the procurement Unit.
Implementation of the internal control system which ensures that Purchase orders are duly prepared and dispatched. Timely identification of issues and escalation for resolution
Provision of information for preparation of cost-recovery bills in Atlas for the procurement services provided by UNDP to other Agencies
Contributes to implementation of sourcing strategy focusing on the following:
Update of the rosters of suppliers
Support identification of new suppliers and assessing them against UNDP requirements
Collaborate with IT colleagues on the update of online inventory catalogue in relation to available goods and their specifications
Ensures proper control of CO Assets focusing on achievement of the following result:
Preparation of inventory reports.
Implementation of Inventory and physical verification check-up in the CO and projects
Any other related tasks as may be required or assigned by the supervisor.

Bachelor degree or equivalent
Educational additional comments
Bachelor Degree in Business or Public Administration, specialized training in procurement is desirable
At least 3 years of professional experience in procurement
Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of clients
Detail orientation and accuracy
Ability to work in a multinational team
Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet;
Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines
Affinity for database management development of user friendly online system for task management is desirable
